Administration Officer

Provide governance, administrative, receptionist, and logistical support to the CEO, board, and key committees. In addition, carry out membership duties, including database management and administration.

The permanent full time position is located in Busselton. Annual salary ranges between $83,802 - $94,265 per annum depending on skills/experience, + superannuation.

    Duties

    Administrative support

    • Provide administrative support to the CEO, board, and key committees.

    • Attend to visitors and provide reception services.

    • Assist the Corporation to meet Service Agreement requirements around matters such as obtaining Corporation approvals for accounts payable, timesheets, travel allowance payments, etc.

    • Maintain the Corporations record management system, SharePoint, and participate in related user group discussions and training.

    • Provide office management services, including liaison with the IT services provider and assisting with office equipment maintenance and operation.

    • Ensure that all key CEO, Board and CAC incoming and outgoing communications are captured in the document management system.

    Membership administration

    • Manage and monitor the membership database for the corporation and any other contact databases.

    • Prepare all required information for director assessment of membership applications and send required communications to members and member applicants.

    Meeting management

    • Organise meetings, such as meeting notices, agenda, timing, location, and manage travel allowance claims.

    • Draft and finalise communications to internal and external stakeholders for the CEO, Board and Cultural Advice Committee.

    • Maintain a Register of Matters referred to and from the CAC, and record CAC and Board decisions in the Register.

    • Take accurate minutes of meetings and maintain an attendance list, and ensure that required actions are recorded and distributed, along with the minutes in the required time frame.

    • Assist the CEO, Board and committees in relation to ensuring Rule Book, Election Manual, CAC/Board protocol and ILUA compliances.

    • Other duties as directed.

    Selection Criteria:

    • High level of IT skills and computer literacy and accurate data processing skills, including the ability to use electronic documents and records management system.

    • Able and willing to work as a member of the corporation team.

    • A current drivers licence.

    • Experience in taking minutes, developing agenda, and arranging meetings.

    • Demonstrated experience in an administrative support role.

    • Strong initiative and problem-solving ability.

    • Excellent oral and written communication skills, especially in a cross-cultural context.

    • An appropriate level of knowledge of the Noongar community and its aspirations, and commitment to the development and advancement of the Noongar community.
